Why onboarding is a fiduciary issue
A new director who cannot find the bylaws, does not understand reserved matters, and has never seen the risk register cannot yet practice the duty of care. Onboarding is how the board brings a fiduciary online. Poor onboarding predicts silence, conflict mistakes, and shallow oversight.

How Prepared Board handles this today
Prepared has two onboarding records, both in-app process aids. Neither one verifies anything outside Prepared: a row is done because someone ticked it.
Every member's onboarding checklist (People). Each membership carries an eight-row checklist on /app/people: "Election / appointment recorded", "COI disclosure filed", "Confidentiality acknowledgment", "D&O questionnaire / insurance summary", "Bio & skills matrix updated", "Portal access verified (MFA)", "Governance document pack reviewed", and "Chair / buddy orientation call". The member can tick their own rows, and a Chair, Secretary, Admin, or Owner can tick them for others after acknowledging the change. The MFA row is a box the board ticks after checking access its own way; the box itself does not inspect accounts. Separately, Prepared offers two-factor sign-in with an authenticator app, and a chair can require it for every member (see /trust). From People, a Chair, Secretary, Admin, or Owner can send one in-app reminder to directors whose checklist is incomplete (onboarding chase); email goes out only when this deployment has a mail provider configured, and delivery is never faked.
New-director onboarding window (announcement to first meeting). A Chair, Admin, or Owner turns the window on in Settings. A Chair, Secretary, Admin, or Owner then marks a member as incoming with an announcement date and a first-meeting date on Incoming directors. The incoming director works a seven-item guided checklist built from this board's own record:
- Read the last 2–3 approved board minutes on this board
- Open decisions still in flight — skim titles and owners
- Policy acknowledgments owed (CoC, whistleblower, and others enabled)
- Committee charters on file (Audit / Comp / Nominating)
- Key people — Chair, Secretary, CEO / ED when seated
- Board practice glossary (quorum, recusal, consent, pack)
- Board-specific one-pager + public cheat sheet for this board type
The board-specific one-pager uses recorded data only and never invents minutes or decisions. If the first meeting is within 14 days and the checklist is incomplete, Board Go shows a soft cue ("Incoming director checklist incomplete before first meeting"); it is a reminder, not a gate.
Private welcome link. The chair can create one private welcome link per incoming seat to copy and send themselves. It expires after 30 days, can be revoked, and a new link replaces the old one; the board-specific one-pager renders only for the signed-in incoming director, never for an anonymous visitor. Prepared emails nothing from this panel.
Across boards. A chair or investor who sits on several boards sees counts only (window on, open incoming seats, first meeting within 14 days, incomplete guided checklists) on Portfolio; names and checklist detail stay on each board. Public new-director cheat sheets by board type are free to read.
Honest limits. Prep Score is a meeting-level readiness score for the whole pack, not a measure of whether one new director was onboarded. The 90-day survey above is not a built-in form today. Prepared is not legal advice, not a background check, not eSign, and gives no onboarding score, completion rate, or ranking.
