AI use policy

As of 2026-10-05. Facts only — grounded in a code audit of what Prepared Board actually calls today. See also /trust and /security.

Prepared Board does not send your board materials to a foundation model today. Generative AI features are not live. If we offer them later, they will be opt-in per board, labeled AI-drafted, and never used to train foundation models on Customer Content.

What is true today

  • Application code does not call OpenAI, Anthropic, xAI, or any other foundation-model API. There is no live generative minutes or generative pack summarizer.

    Evidence: Code audit of src/ — no provider SDK or API key usage for generation.

  • We do not use Customer Content to train, fine-tune, or improve foundation models.

    Evidence: Product policy; no training pipeline exists in this codebase.

  • Directors may paste analysis from ChatGPT, Claude, Grok, or another tool onto a decision. That text is stored as the director's paste and labeled not verified / not a vote. Prepared does not call those tools.

    Evidence: lib/decisions/outside-agent-input.ts and OutsideAgentInputPanel.

  • Minutes-from-record drafts, agent briefings, and similar compositions are assembled from board rows in-process. They are labeled composed from board record — not generative AI.

    Evidence: Minutes and briefing composers use Prisma rows only.

  • Chair, Admin, or Owner can turn AI features off per board. The setting is enforced server-side for any generative endpoint (none live today).

    Evidence: Board.settingsJson.aiUse.aiFeaturesOff + assertAiFeaturesAllowed.

  • When a generative provider is connected, we will name it on this page before customer data is sent. Until then we do not invent a provider name.

    Evidence: Honesty rule — no fake subprocessors.

Labels you will see

  • AI-drafted — reserved for generative model output (none live today).
  • Composed from board record — not generative AI — structured drafts assembled from board rows.
  • Pasted outside-agent text — not verified — not a vote — director-pasted text from an outside tool.

Not available yet

  • In-app generative minutes or pack summaries
  • Bring-your-own-key (BYOK) for customer-managed model credentials
  • Automatic forwarding of board packs to any model provider

No AI model provider is connected today, so none is named here. If one is added, this page will name it before any board data reaches it.

Per-board control: Chair / Admin / Owner can set AI features off in Settings. When it is off, no generative AI feature runs for that board.
