# Board Governance Calendar: One Year of Recurring Obligations

**Target keyword:** board governance calendar
**Intent:** Informational / How-to
**Last updated:** 2026-10-05
**Reading time:** ~7 minutes

## Who this guide is for

Chairs, corporate secretaries, and admins who want **one year view** of recurring board obligations — and investors who ask portfolio boards to show that calendar on diligence.

**This is practice guidance, not legal advice.** Prepared Board does not file with any Secretary of State, does not connect to ASPA, and does not certify statutory compliance.

---

## The problem this solves

Boards already have meetings on the calendar, COI attestations in People, officer seats on a checklist, pack lead-time settings, circulating written consents, and outcome monitors. What investors and chairs still ask for is a **single place** that answers: *what is coming up this year, and where is the record?*

Email + a shared drive scatter those answers. A spreadsheet drifts. A product that pretends it filed your annual report with the state is worse than silence.

## What Prepared Board shows today

Open **More → Governance calendar** (`/app/governance-calendar`). Chair, Secretary, Admin, or Owner only.

For the selected year you get:

1. **Scheduled meetings** — recorded from the meetings database
2. **Annual COI attestation window** — from existing COI year logic (March 31 convention as a board-declared product aid)
3. **Officer election / annual meeting month** — from the [jurisdiction profile](https://preparedboard.com/guides/board-jurisdiction-settings) when declared
4. **Pack lead-time targets** — pack-lead days before each meeting (board setting + recorded meeting)
5. **Circulating written-consent chase targets** — recorded consents with chase deadlines (not DocuSign; not a legal deadline)
6. **Outcome monitor due dates** — recorded monitors that are not complete or waived
7. **Custom milestones** — board-declared titles and dates stored in settings (optional note)

Every row is labeled **Recorded** or **Board-declared settings**, and links to the real surface (meeting, People COI, officer-election checklist, book read-through, written consents, decision / outcomes).

Board Go shows the **next three** items within 14 days as soft cues. Board decision quality proof and diligence show a **Next on calendar** strip. Portfolio can show the current board's due-within-30 count.

---

## What it deliberately does not do

- File anything with a Secretary of State
- Connect to ASPA or invent statutory deadlines
- Replace counsel, bylaws, or your IRA / LPA
- Email reminders (copy text only where chase surfaces already allow it)
- Compute a "governance score"

---

## How to use it this week

1. Confirm your [jurisdiction profile](https://preparedboard.com/app/settings#jurisdiction-profile) annual meeting month
2. Confirm pack lead days in Settings
3. Open `/app/governance-calendar` and scan the next 30 days
4. Add any board-declared custom milestones (for example Piscataqua's seeded **Form 990 board review (board copy)** or Northlight's **409A refresh window**)
5. Hand an investor the [decision quality proof](https://preparedboard.com/app/board-proof) or [diligence snapshot](https://preparedboard.com/app/diligence) — both include Next on calendar

---

## Try a board

Walk the seeded year shape on a real demo board:

- Sign in as `a sample board (see /sample-decision)` / `password123`, or pick Piscataqua at [Try a board](https://preparedboard.com/#try-a-board) — Maine land trust; winter officer elections; easement monitors
- Or open the generic [Try a board](https://preparedboard.com/#try-a-board) chooser and pick the board type that matches yours

Then open **More → Governance calendar**.
